Having the complete range of document management services available allows us to offer you a Scan on Demand Service.Â This service provides a cost effective solution to storing and accessing your paper or microfilm archive.
Quite simply our records management service will securely store and manage your data and upon your request scan and make the information available within an agreed timescale â€“ usually within 2 hours. Records can be returned via several methods including fax, secure ftp methods and e-mail.
Such scanning solutions can be ideal for businesses with storage issues but who have a limited budget and need to spread costs.
A good example of the need to scan on demand is within a local Health Trust in the accident & emergency department:
Their initial requirement was to remove 5 years worth of records from a defunct building and to place them in our massive storage facility.Â Although weather conditions did make this difficult, by using additional members of staff, we removed all records within the time allocated.
All records were boxed and a complete inventory of records were supplied to the Trust.
The Trust utilised an agreed method to request files in order to comply with their Governance requirements regarding confidentiality.
Only specified individuals can make requests or the request is referred back to a higher authority for approval.
The record is extracted from storage, scanned and returned via fax â€“ as email and ftp were not acceptable methods under their data protection rules.
The requirement is to return the information within 48 hours but this is usually delivered sooner if stipulated.
The client has now requested that we start scanning these records as funds allow.
